1. Agreement & Acceptance

By accessing and using AutoSuite (safo.ae), you agree to be bound by these Terms of Service. If you don't agree, do not use the service.

These terms constitute the entire agreement between you and SAFO FZE regarding AutoSuite. You acknowledge you have read, understood, and agree to comply fully.

These terms apply to:

  • Web platform access and usage
  • Mobile app usage
  • API access
  • All features and integrations
  • All services provided by SAFO

SAFO reserves the right to modify these terms at any time. Continued use after modifications means you accept the new terms. We'll email you about significant changes, but it's your responsibility to check for updates.

2. Service Description

AutoSuite is a cloud-based garage management platform providing:

  • Digital job card management and tracking
  • Customer communication tools (email, SMS, WhatsApp)
  • Invoice generation
  • Employee and team management
  • Analytics and reporting dashboards
  • Mobile app access (optional add-on)
  • Integrations with third-party tools

Service Availability & Uptime

AutoSuite operates 24/7 with 99.9%+ uptime SLA:

  • Planned maintenance may temporarily interrupt service (we notify in advance)
  • Unplanned outages are addressed as quickly as possible
  • We monitor infrastructure continuously
  • We are not liable for downtime caused by events beyond our control

3. Account & Registration

AutoSuite accounts are NOT available for self-signup online. Account creation requires direct contact with our sales team.

3.1 How to Get Started

To use AutoSuite, follow this process:

  1. Contact our sales team — Email: sales@safo.ae or /request-demo
  2. Schedule a demo — Discuss your garage's specific needs
  3. Receive a custom quote — Based on requirements and features
  4. Accept the agreement — Sign this Terms of Service and Privacy Policy
  5. Account creation — Our team creates and configures your account
  6. Onboarding & training — Personalized onboarding for your team
Account Setup Timeline
  • Demo: Same day or next business day
  • Quote: 24 hours after demo
  • Account creation: 1–2 business days after agreement
  • Full onboarding: 1–2 weeks

Important

There is no self-service online signup. All accounts are managed by our sales and onboarding teams.

3.2 Account Eligibility

You must meet these requirements:

  • At least 18 years old
  • Authorized to enter into binding contracts
  • Operating a legitimate garage or automotive business
  • Managing authorized personnel who use the system
  • Not restricted from using online services
  • Not violating laws or sanctions in your jurisdiction

3.3 Account Credentials & Security

You are Responsible for:

  • Maintaining confidential passwords and login credentials
  • All activity that occurs under your account
  • Notifying support@safo.ae immediately if compromised
  • Not sharing account access with unauthorized people
  • Monitoring for suspicious activity

We are NOT Responsible for:

  • Unauthorized access due to weak passwords
  • Phishing or social engineering attacks
  • Unauthorized use you fail to report
  • Unauthorized access by employees or contractors

If Compromised

Email support@safo.ae immediately with your account email, description of the issue, and any suspicious activity.

3.4 Account Information Accuracy

You agree to provide accurate, complete information during onboarding, update your account information as it changes, inform us of changes to authorized users, and maintain accurate billing and contact information. Inaccurate information may result in account suspension.

3.5 Multi-User Accounts

Your subscription includes multiple user seats based on your plan:

Professional Plan Up to 10 users
Advanced Plan Up to 50 users
Enterprise Plan Custom user limits

You are responsible for managing user access, immediately revoking access for employees who leave, ensuring only authorized people access your account, and preventing unauthorized account sharing. You are liable for all activity by unauthorized users.

4. Fees & Payment

This section details how pricing, billing, and payments work.

4.1 Subscription Pricing

Pricing is quoted individually based on your plan and add-ons. See pricing page (/pricing) for typical pricing examples. All prices exclude VAT (added where applicable).

Price Examples (may vary)
  • Essential: Starting ~AED 2,724/year (~USD 227/month)
  • Professional: Starting ~AED 8,186/year (~USD 681/month)
  • Advanced: Starting ~AED 13,070/year (~USD 1,089/month)
  • Enterprise: Custom pricing (contact sales@safo.ae)

4.2 Quote & Proposal

After your demo, you'll receive a formal written quote containing: plan tier, number of user seats, add-ons selected, monthly or annual pricing, effective date and contract term.

Quote is valid for 30 days. Reply to the quote email to accept. Signing this Terms of Service confirms you accept the quoted pricing.

4.3 Pricing Changes

We may change pricing with 30 days advance email notice. Your quoted pricing applies for your initial contract period. Pricing changes don't affect you until renewal.

4.4 Payment Terms

Payment is due on your subscription start date. Invoices sent 5 days before payment due. Failed payments result in service suspension after 3 days. Access is restored once payment is received.

Payment Methods We Accept:

  • Bank transfers (local and international)
  • Local payment methods (region-specific)
  • Payment details provided during onboarding

Our onboarding team will send you: invoice with payment details, bank account information for transfers, payment deadline, and invoice reference number.

4.5 Billing Cycle

Monthly Billing: Renews on the same date each month. Invoice sent 5 days before renewal.

Annual Billing: Renews on the same date each year. 20% discount compared to monthly billing. Invoice sent 5 days before renewal.

Changing Billing Frequency: Changes take effect at next renewal. 30 days notice required. Contact support@safo.ae.

4.6 Taxes & VAT

You're responsible for VAT/GST in your jurisdiction. Applicable rates:

  • UAE: 5% VAT
  • Saudi Arabia: 15% VAT
  • Other GCC: Applicable local rates
  • Other countries: Applicable local tax rates

Invoices clearly show tax amount separately. VAT calculated based on billing address. Tax compliance is your responsibility.

4.7 Add-Ons & Extra Services

Optional Add-Ons (billed separately):

Mobile Apps:

  • Customer Mobile App: AED 15,000/year (up to 5,000 users)
  • Garage Staff Mobile App: AED 5,000/year
  • Billed annually

Integration Add-Ons: AED 3,000/year per integration. Available: QuickBooks, Xero, WhatsApp messaging, SMS notifications, Google Calendar, Custom API access, Analytics tools integration.

Custom Development: Custom integrations, custom workflows, white-label solutions — all quote basis. Contact sales@safo.ae.

Add-On Billing: Each add-on is a separate invoice, renews annually, can be cancelled independently. Change requests require 30 days notice.

4.8 Overages & Additional Users

Extra User Seats: Contact support@safo.ae. Added to next invoice. Pro-rated if added mid-cycle.

Storage & Limits: Most plans include sufficient storage. Contact support@safo.ae if you need more. Enterprise plans have custom limits.

4.9 Non-Refundable Fees

Important — No Refunds

All subscription fees and add-on charges are NON-REFUNDABLE.

Once paid, fees cannot be refunded for any reason, including:

  • Partial months or unused time
  • Unused features or integrations
  • Custom development or services rendered
  • Changing your mind about the subscription
  • Early cancellation

This applies to all charges: main subscription, mobile app fees, integration add-on fees, custom development fees.

5. Cancellation & Refunds

5.1 Cancellation Policy

How to Cancel: Contact support@safo.ae. Include your account email, company name, cancellation reason. We'll process within 1 business day.

Cancellation Timeline: 30 days written notice required. Effective date is end of current billing cycle. Account remains fully active until that date.

Example

You email cancellation on May 15 → current period ends June 15 → access terminates June 15.

Important

No online self-service cancellation. You must contact our team via email.

5.2 No Refund Policy

All subscription fees are non-refundable. No refunds for partial months, unused time, add-ons purchased, or custom development. If you pay for 12 months and cancel after 3, your account remains active for the full 12 months with no refund.

5.3 Early Termination Example

Situation

Plan: Essential plan AED 2,724/year. Pay on May 1, cancel on August 1 (3 months later).

Result: NO refund. Account remains active until April 30. Full access to AutoSuite for entire 12 months. After April 30, access automatically terminated.

5.4 Data Export & Retention After Cancellation

When You Cancel: Cancellation confirmation sent via email. 30 days from cancellation to export all data.

Data Export Includes:

  • All job cards and invoices
  • Customer profiles and service history
  • Employee records
  • Analytics and reports
  • Any custom data entered

After 30-Day Export Window: Data permanently deleted. Encrypted backups retained 90 days (not accessible to you). After 90 days, all backups destroyed. No liability for data loss after 30-day export window.

Important

Export data BEFORE your paid period ends. Once the account is terminated, you only have 30 days to export your data.

5.5 Account Access After Cancellation

Timeline: Cancellation request → 30-day grace period → access until paid period ends → automatic termination → 30 days for data export → data permanently deleted.

5.6 Reactivation After Cancellation

Process: Contact sales@safo.ae → discuss current needs → receive new quote → sign new agreement → new account created → new onboarding.

About Old Data: If you exported data before deletion, you can import it. If not exported, data is permanently lost. Previous pricing does not apply to new account.

5.7 Account Suspension & Termination for Cause

We may suspend or immediately terminate if you:

  • Breach these Terms
  • Engage in fraudulent activity or misuse
  • Engage in prohibited activities (Section 6)
  • Use AutoSuite for illegal purposes
  • Are required to by law or court order

Suspension: Temporary (7–30 days) while investigating.

Termination: Permanent account deletion.

If Terminated for Cause

No refund, data deleted within 30 days, cannot reactivate, we may report illegal activity to authorities.

5.8 Survival After Cancellation

These sections survive cancellation:

  • Intellectual Property Rights (Section 7)
  • Limitations of Liability (Section 8)
  • Indemnification (Section 9)
  • Warranty Disclaimer (Section 10)
  • Dispute Resolution (Section 12)

6. User Responsibilities

6.1 Permitted Use

You agree to:

  • Use AutoSuite only for legitimate garage operations
  • Comply with all applicable laws and regulations
  • Not violate third-party rights (intellectual property, privacy, etc.)
  • Not attempt to hack, exploit, or bypass security features
  • Not reverse-engineer or decompile our code
  • Not use AutoSuite to harm others
  • Maintain accurate, updated account information
  • Keep login credentials confidential and secure
  • Not share account access without authorization
  • Report security issues responsibly
  • Follow applicable data protection laws
  • Use AutoSuite in good faith

6.2 Prohibited Activities

You agree NOT to:

  • Engage in illegal activities (fraud, money laundering, sanctions violations)
  • Harass, threaten, or abuse other users or AutoSuite staff
  • Attempt unauthorized access or hacking
  • Distribute malware, viruses, or harmful code
  • Send spam or unsolicited communications
  • Violate intellectual property rights
  • Use automated bots or scrapers (unless authorized)
  • Exceed your API rate limits
  • Use AutoSuite on behalf of sanctioned countries or entities
  • Violate any laws (local, regional, national, or international)
  • Use fake or misleading information in your account
  • Attempt to disrupt or interfere with our service
  • Engage in any activity we reasonably determine violates law

6.3 Consequences

If you engage in prohibited activities, we may:

  • Issue a warning
  • Temporarily suspend
  • Permanently terminate
  • Delete all data
  • Forfeit fees (no refund)
  • Report illegal activity to authorities
  • Pursue legal action
  • Cooperate with law enforcement

Immediate Termination possible for illegal activity, activity that harms security or other users, or serious terms violations. No Liability from our side for account suspension or termination for cause.

7. Intellectual Property

7.1 AutoSuite Intellectual Property Rights

AutoSuite platform, code, design, and logos are owned by SAFO FZE. Copyright © SAFO FZE. All rights reserved.

Your License to Use: Non-exclusive, non-transferable, revocable. Expires when subscription ends.

You CANNOT:

  • Reproduce, copy, or clone AutoSuite
  • Modify or create derivative works
  • Reverse-engineer or decompile code
  • Sell, resell, or transfer the license
  • Sublicense to others
  • Compete with AutoSuite using our code

7.2 Your Content & Data Rights

You own all your data: job cards, invoices, customer data, employee records.

Our Rights to Your Data: We process and store it to provide service. We may use anonymized, aggregated data for: product improvement, analytics, research, marketing. We never sell your data.

Your Responsibility: Accuracy of your data, legality of your content, getting customer consent, complying with data protection laws.

7.3 Intellectual Property Infringement Reports

Report to copyright@safo.ae with subject 'IP Infringement Report'. Include: description of work, location in AutoSuite, contact information, statement under penalty of perjury.

We'll investigate within 10 business days, notify you, remove infringing content if found, and may terminate repeat infringers.

8. Limitations of Liability

8.1 Limitation of Damages

In no event shall SAFO be liable for:

  • Indirect, incidental, special, or consequential damages
  • Lost profits or lost revenue
  • Lost data or data corruption
  • Damage to reputation or goodwill
  • Cost of replacement goods or services
  • Loss of business opportunity
  • Damages from: service interruptions, errors in data processing, third-party integrations, user error, events beyond our control, lost or corrupted data

Even if SAFO was informed of the possibility of such damages.

8.2 Liability Cap

Our total liability cannot exceed the amount you paid in the 12 months before the claim.

Example

If you paid AED 2,724 for one year, max liability is AED 2,724. If claim is AED 10,000, you can only recover AED 2,724.

If no payments made: liability is AED 0.

In jurisdictions that don't allow liability limitations, liability is limited to the maximum allowed by law.

8.3 Third-Party Liability

We Are Not Liable For:

  • Third-party integrations (QuickBooks, Xero, etc.)
  • Third-party websites or services
  • Data loss in third-party systems
  • Downtime of third-party services
Example

If QuickBooks integration loses data = QuickBooks' liability, not ours.

You are responsible for reviewing third-party terms and managing third-party integrations.

9. Indemnification

You agree to defend and protect SAFO from claims arising from your use of AutoSuite.

You agree to indemnify and hold harmless SAFO and its officers, directors, employees, and agents from any and all claims, damages, costs, and expenses (including legal fees) arising from:

  • Your use of AutoSuite
  • Your violation of these Terms
  • Your violation of applicable laws
  • Your content or data
  • Your infringement of third-party rights
  • Disputes between you and your customers
  • Your negligence or misconduct

You'll defend SAFO against third-party claims, pay all costs including legal fees, cooperate fully, and settle disputes only with SAFO's consent.

10. Warranty Disclaimer

AutoSuite is provided AS-IS without warranties.

10.1 Disclaimer of Warranties

We make NO warranties about AutoSuite:

  • NO implied warranty of merchantability
  • NO implied warranty of fitness for a particular purpose
  • NO warranty of non-infringement of third-party rights
  • NO warranty of accuracy or completeness of data
  • NO warranty of uninterrupted or error-free operation
  • NO warranty that all bugs will be fixed
  • NO warranty of title or ownership

Use at Your Own Risk

You use AutoSuite entirely at your own risk.

10.2 Your Responsibilities

You Are Responsible For:

  • Maintaining backups of your critical data
  • Testing AutoSuite features thoroughly before relying on them
  • Verifying data accuracy and completeness regularly
  • Keeping your login credentials secure
  • Notifying us of issues promptly
  • Using AutoSuite according to intended purpose

11. Modifications to Service

11.1 Right to Modify Service

SAFO has the right to modify, suspend, or discontinue any feature:

  • At any time without notice (for security issues)
  • With 30 days notice (for major changes)
  • With 60 days notice (for API deprecation)

Notice Methods: Email notification, in-app notification, website announcement (/changelog or /blog), status page updates (/status).

11.2 Continued Use Means You Accept Changes

If you continue using AutoSuite after notification of changes, you accept those changes. If you disagree: cancel subscription, export data within 30 days, no refund issued. Contact support@safo.ae to discuss concerns.

11.3 API Changes & Deprecation

We may update API endpoints with 60 days notice. Legacy API versions supported for 90 days after deprecation. Endpoint removals announced on /changelog. Contact support@safo.ae for migration assistance.

12. Dispute Resolution

12.1 Informal Resolution

Before any legal action, try good-faith negotiation:

  1. Send Detailed Notice to support@safo.ae — include account email, clear description of issue, specific dates and events, desired resolution, documentation.
  2. Our Response within 5 business days — our understanding of the issue, our perspective, possible solutions, next steps.
  3. Negotiation period up to 30 days.
  4. Escalation to management with final offer if informal resolution fails.

12.2 Binding Arbitration

If informal resolution fails, disputes will be resolved through binding arbitration (not court).

Advantages: Confidential, faster than court, cheaper than court, neutral arbitrator, flexible procedures.

12.3 Exceptions to Arbitration

These disputes CAN go to court:

  • Intellectual property disputes
  • Injunctive relief (urgent court orders)
  • Claims in small claims court

Either party can seek emergency court orders while arbitration proceeds.

12.4 Governing Law

These Terms are governed by:

  • United Arab Emirates law
  • Courts of the United Arab Emirates
  • UAE legal procedures and standards

SAFO FZE is registered in the UAE. Operations are based in the UAE. Where UAE law conflicts with mandatory local laws in your jurisdiction, local mandatory laws apply.

Where We Operate

SAFO FZE is registered and operates in the United Arab Emirates. For security and privacy reasons, we do not publish our office address on our public website. If you need our physical mailing address for official business, please email legal@safo.ae and we'll provide it in response to your inquiry.
